Property Management Assistant/Service Coordinator



Job Description:We are a property management group with buildings ranging from 3 unit homes to multi-suite, small/midsize apartment buildings. Through this unique time of reorganization, expansion and upgrading internal procedures we are looking for a full-time Property Management Assistant (PMA) with experience in management and administration of rental properties, and who finds satisfaction in providing feedback for increasing effectiveness and efficiencies. The position that we envision is a hybrid of Property Management Assistant and Assistant to the Building Superintendent. This position requires an individual to be adaptive, meticulous, and team orientated. Professionalism and assertiveness is also a key trait to be successful in this role. You will be supervised and dedicated to our Building Superintendent and Operations Manager, but expected to be able to self manage daily tasks and schedules autonomously. You will work closely with, and provide feedback to our process consultant in working through existing and developing new tools for standardization of internal processes and procedure; with the ultimate goal of increased effectiveness and efficiency. If you excel and find pride in managing complex situations with various moving parts, while maintaining a professional demeanour towards residents and vendors, you will find great satisfaction and fulfillment in this role. With our group, the right candidate will find training and coaching with tools in administration and customer service that will be useful in all other aspects and avenues of professional and personal life. Training and development sessions will be provided to assist in all areas. Your success and full support is our success and full support. Management is open to a full-time exclusive/permanent contract or regular salaried employment through payroll. Starting compensation $3500/month and $500.00 rental subsidy. Potential for living placement. The Responsibilities: Act directly as an agent to the Property Manager. Acting as Physical Attendant. Supervise Cleaning Contractors. Task and Vendor Coordination. Reporting to management. Generating tasks and noting updated information. Track and coordinate tenant correspondence regarding material requirements of tenancy agreements. Provide ad-hoc duties as requested by senior staff. Prepare and send emails, notices and letters to tenants, landlords and vendors as required. Weekly routine site visits Coordinate keys and access cards for tenants and contractors. Move in and move out inspections. Manage and guide the Tenant Services Coordinator (Rental Advisor). Provide assistance in developing the company’s operational procedures and processes in order to adapt and excel with the growing demands of the industry. What You Will Need: Minimum of 3 years experience – in the Property Management Industry or in a role that you can clearly express how the tasks and duties would directly translate as working knowledge. Willingness to be on-call as the emergency contact and work hours most conducive with industry requirements and standards. Must drive and have your own vehicle. Strong in communication skills – (written and verbal) and quick response time an asset. Familiarity with BC Residential Tenancy Act – recommended but not required Excellent time management, organizational and leadership skills. Project coordination and scheduling experience. Advanced computer and phone application skills. Good eye for detail and review of documents and contracts. Willingness to learn and use the tools provided for success. Detail oriented and with creative problem solving skills. Excellent customer service skills. Ability to multitask and juggle multiple tasks with varying and overlapping timelines and priorities. Ability to assess priority of tasks based on risk of safety and further damage. Confidence to ask or confirm the best course of action. A passion to evolve and grow as a professional in the property management industry.
