Job Summary & Responsibilities
The Vendor Management Supervisor (VMS) is responsible for the management of Regina vendors to include tracking, measuring, evaluating and reporting performance while identifying and implementing corrective actions. The position was created in mid-2020 at the direction of Chief Performance Office to resolve key issues with time-and-material arrangements, improve the process of managing vendors on the Regina site, achieve cost savings and reduce the opportunity for fraud.
Conduct routine vendor evaluations to confirm work being performed, and the number of employees and equipment assigned, is accurate
Review Work Orders, Purchase Orders, invoicing and access control records for accuracy and resolve discrepancies
Work with Purchasing to assess and approve vendors, ensure Master Agreements are in place and that Scopes of Work match the work being performed
Build and maintain relationships with vendors to build compliance, utilizing the Vendor Scorecard as appropriate
Provide advice and guidance regarding solutions and corrective actions to key stakeholders to include Purchasing, Accounts Payable and management
High School Certificate
5-7 years of related experience managing vendors whether in a VMS, Purchasing, or similar role
Certificate or Bachelor’s degree in supply chain management, marketing, business administration, or a related field considered an asset
Sound working knowledge of Oracle, Maximo and ability to create and analyze reporting is essential.
Proficient in Microsoft Office applications
Effective written and verbal communication skills; Strong negotiation, management, and decision-making skills; Excellent analytical, problem-solving, and organizational skills and, The ability to multi-task effectively
