Administrative Assistant – Construction

Randstad Staffing is seeking a Administrative Assistant for a well known construction company in Winnipeg!

Responsibilities and duties include:

– Read and interpret construction contracts, Request for Proposal (RFP) and Request for Qualification (RFQ) documents
– Assist in the preparation of RFP/RFQ responses
– Read and interpret construction drawings and specifications
– Draft contracts between owners/sub-trades and general contractor
– Draft Letters of Intent and Purchase Orders to sub-trades
– Draft letters of correspondence between general contractor, owners and sub-trades
– Record and distribute meeting minutes for multiple concurrent construction projects
– Distribute construction shop drawings, samples, and job-related materials
– Maintaining and filing insurance and WCB documentation for each of ACL’s sub-contractors
– Respond to and/or direct complaints or concerns to appropriate department or project manager
– Record and organize LEED documentation
– Prepare Operation and Maintenance Manuals for completed construction projects
– Maintain stock of office supplies
– Create and manage Excel tracking sheets for multimillion dollar construction projects
– Track construction documents and materials entering and leaving the head office
– Maintain a file system that includes all construction projects
– Organize pickups and deliveries
– Book travel accommodations for business trips (fights, hotels, transportation, etc.)
– Assist project managers in miscellaneous tasks
-Assist accounting department in miscellaneous tasks

Advantages

– $30,000-$35,000/yr dependent on skills and experience
– Monday to Friday 8:30 am – 5:00 pm (8:00 am – 5:00 pm in the summer, leave at 12:00 pm Friday’s!)

Qualifications
– 1-2 years experience in a fast paced administrative role, having experience in construction is an asset
– Must take pride in their work, have strong attention to detail, great prioritization and multi-tasking skills
– Organized, willing/open to learn new skills
– Strong with Microsoft office, experience with Sage 300 and Indesign would be an asset
– Very professional, presentable, outgoing and can work well with a team
